A clear start for your department
WatchLine setup is reviewed with your department. Sending an inquiry does not create an account, start a pilot or charge a card.
- Tell us about your department. Send your team size, role and scheduling needs. WatchLine Support follows up to discuss a demonstration or approved pilot.
- Prepare department access. Ultimate Admin reviews the arrangement, prepares the department and verifies the initial Chief account. Public self-enrollment and payments remain closed during preview.
- Configure your department. Chief/Admin work through branding, personnel, account links, shift templates, staffing requirements, holidays, time periods and the initial schedule. Staff invitations are a separate action.
- Check the setup. Chief confirms the setup checklist. Review recurring assignments, participation and account access before operational use. Preparation alone does not use pilot days.
- Start an approved pilot. Chief explicitly starts the 30-day clock after setup. The approved pilot requires no credit card. Starting it does not create a paid subscription or turn on notifications. Repeating the start action does not extend the clock.
- Review the results. Discuss whether WatchLine fits the department before arranging paid continuation. When the pilot expires, operational changes are blocked; authorized viewing and exports remain available under the current access controls. The pilot does not automatically become a paid subscription.
Before operational use
Agree the access arrangement, support/setup scope and data-handling requirements with WatchLine. A demonstration is not permission to notify officers or replace the department's confirmed schedule.
How personnel are counted
Every active roster record counts toward the department's personnel allowance, including full-time, part-time, SRO and command personnel. A person does not need a linked login or a scheduled shift to count. Inactive roster records and billing-only contacts do not count. Existing history remains when a person becomes inactive.
Paid tier sizes are 1–10, 11–25, 26–50 and 51–75 personnel. At the approved allowance, new active records and reactivations are blocked; existing records are preserved. Custom and complimentary allowances require WatchLine approval. Complimentary unlimited access is handled separately from paid subscriptions.
When your department grows or shrinks
Contact WatchLine before adding personnel beyond the allowance. Adding someone does not automatically change the plan or charge a card. Reducing active personnel does not automatically lower a subscription price. A lower allowance must accommodate the remaining active roster; do not delete historical records to make it fit.
Tier changes have been exercised in Stripe sandbox testing. Live tier changes, effective dates, annual changes and any credits must be agreed before paid launch; the sandbox behavior is not a live billing promise.
What does “standard setup” include?
The pricing preview lists a $0 standard setup fee. The configuration checklist above describes the setup process; it is not a promise of unlimited historical imports, custom development or integrations. Confirm any additional work with Support before proceeding.
Support boundaries
Product questions use the inquiry form. Authorized users can send a private help request through the application to Ultimate Admin. Setup assistance, imports and custom work need an agreed scope. Support hours, response targets and escalation arrangements will be confirmed before a paid agreement. WatchLine is not an emergency dispatch service.
